Executive Administrator to the CEO and CFO

Position Summary:

Established Medical Device Company is seeking an Executive Administrator at its Columbia City, IN office.  Reporting directly to the CEO and CFO, the Executive Administrator provides executive, administrative, and developmental support to the CEO and CFO and serves as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO and CFO. This position serves as a liaison to the senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects.

Key Responsibilities:

Executive Support

Organize and manage all corporate governance for company and affiliates. This will include managing member/partner correspondence of affiliated companies.
Work with various sources to prepare aggregate activity report for CFO & CEO.  Report should contain actual periodic performance and how that compares to planned performance.
Conducts research to identify and evaluate current needs
Drafts reports, letters, proposals
Manages projects
Communicates on behalf of the CEO and CFO
Coordinates logistics with high-level meetings both internally and externally
Prepares and coordinates oral and written communication
Supports CEO and CFO in their external commitments including service on external boards, committees and other groups
Coordinates meetings, conferences, and committees both on and off site to support the CEO and CFO’s agendas
Assists the CEO and CFO with daily administrative duties and completes a broad variety of administrative tasks that include:

managing an active calendar of appointments
completing expense reports
composing and preparing correspondence
arranging complex and detailed travel plans, itineraries and agendas
compiling documents for meetings

Maintains confidential files and contact information
Performs other duties as assigned

Experience & Education:

Bachelor’s degree or equivalent experience
Five to ten years’ experience providing support for upper-level management
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly
Excellent attention to detail

 

Skills & Abilities:

Strong interpersonal skills and the ability to build relationships with staff, board members, vendors, etc.
Proficiency in Microsoft Office including MS Word, EXCEL and PowerPoint; data management systems knowledge helpful.
Ability to learn new software
Research experience
Professionalism
Self-directed, can work independently
Outstanding writing, editing, grammatical, organizational, and research skills
Excellent management, time-management, and problem-solving skills.
