Indiana University East is accepting applications for the Administrative Assistant in Academic Affairs. This position will support the HLC Quality Initiative, Honors Program, the Study Abroad Program, and the Women & Gender Studies Program at IU East. Duties will include providing administrative support, coordinating the logistics for activities in the programs, assisting with student communication documents (brochures, fliers, newsletters, e-mails, etc.), assisting with determining fiscal requirements and providing assistance to students seeking information.
Characteristic Duties and Responsibilities:
Providing administrative support - maintaining websites, taking minutes at meetings, creating Microsoft Office documents (Word, Excel, PowerPoint, etc.) based on information provided, tracking students in the programs, processing supply orders, and preparing and posting course lists for the programs. Use the KFS system to create and track purchase requisitions for the department.
Coordinating the logistics for activities, events, and conferences - monitoring budget, facilitating set-up, scheduling rooms, ordering food, sending out communications, recording RSVP's, etc. Also, assist with logistic support for orientation and other admission events.
Assisting with student communications - Assist directors with the creation, design and development of promotion and marketing materials -- including brochures, fliers, newsletters, etc., as well as coordinating printing, and supporting dissemination. Also, maintain listservs or other distribution mechanisms.
Providing assistance to students seeking information - assisting walk-in students and student phone calls or e-mails, answering questions or directing them to the appropriate advisor, faculty member, or administrator as necessary.
Initiate and arrange all travel arrangements, including, but not limited to: car rentals, hotel accommodations, flights, and itinerary/schedule preparation. Maintain record keeping and the processing of all travel reimbursement for the Honors Program, including faculty/staff and student travel.

Minimum Education - High school diploma or equivalent and some college coursework is required; a bachelor's degree is preferred.
Minimum Experience - clerical experience required; experience in higher education setting with a high-level of student interaction preferred.
Required knowledge, skills, and abilities - Ability to use Microsoft Office suite required with knowledge of Contribute helpful. Evidence of strong writing, speaking, and interpersonal skills required.
Equipment utilized - Desktop Computer, multi-purpose copy machine.
