Church Administrative Assistant

Work Hours: 15 hours/week

Schedule: Tuesdays, Fridays, and one other day of choice / 10 a.m. – 3 p.m.

Summary

The Administrative Assistant will provide clear verbal and written (digital and print) communication with a Christ-like attitude to the staff, congregation, and community while also assisting staff with various administrative tasks as needed.

- Regularly attends a local Christian Church (Broadway or otherwise)

Education, Skills and Abilities

- Minimum education level of High School Diploma with 1-2 years of experience in duties and responsibilities related to job is preferred
- Strong verbal and written skills; able to effectively communicate in a Christ-like manner
- Comfortable working with computers and communicating with others on the phone and in person
- Working knowledge of various community resources in Fort Wayne is preferred, but not required
- Able to multitask, be flexible and work well with others
- Previous experience and comfort using Gmail or other web-based email, Microsoft Office, and Social Media (Facebook)
- Previous experience and comfort using Photoshop is preferred, but not required
- Capable of being proactive, well-organized, and detail-oriented

Key Areas of Responsibility

- Respond to incoming phone calls and emails from staff, congregation, and people within the community in a timely and helpful manner
- Greet and assist visitors who come into the office for various needs
- Send out weekly Attendance Report, Hospital Updates, and Praise/Prayer Requests via email to appropriate recipients
- Check and distribute mail
- Assist staff accountant with accounting for tithes, offerings and other payments
- Use Powerpoint to update Sunday morning announcement slides
- Create and/or update print materials for various ministries (Ex: Brochures, Flyers, Inserts, Posters, etc.) as needed
- Use Constant Contact to distribute mass emails to congregation and community (Ex: Weekly eBulletin, Special Announcements, etc.)
- Edit and print bulletin and Order of Worship each week for Sunday morning worship
- Call local hospitals each day to see if any congregants need visited
- Distribute and keep inventory of church keys and key agreements
- Maintain church calendar
- Update church Global Outreach board with missionary updates on a bi-monthly basis and as needed
- Manage Sunday Bus pick-up requests throughout week and print list for drivers
- Attend and participate in weekly staff meetings and events
- Maintain Visitor Contact list, send out Visitor Welcome letters, and follow-up with Visitor’s Meal RSVPs for monthly Visitor’s Lunches
- Maintain bulletin boards in Vestibule and Common Grounds room
- Maintain supplies needed at Community Info and Visitor’s Info tables in Sanctuary
- Manage Facility and Vehicle use agreements for various church and community events
- Run and keep record of ministry volunteer background checks as needed
- Keep inventory of and restock office supplies as needed
